IT Networking Cost-Savings, Productivity and Security

By engaging small business decision makers in discussions about their IT networking needs, you can highlight how automating services like faxing will save your prospect’s or client’s company on manual labor, which indirectly translates into substantial salary savings over the course of the year.

At the very least, network-based faxing will free up staff to focus on higher-level activities, rather than “babysitting” an archaic fax machine.

Listen for Other IT Networking Opportunities

As you get to know more about the prospect’s or client’s business, keep your antenna up for additional solution opportunity areas, such as centrally-managed Internet access for each desktop.

Besides faxing and Internet access, a client/server network makes sharing, protecting and securing information much easier. Through permissions and auditing, small business owners can ensure that only those authorized have access to sensitive information.

By centralizing the storage of data, small businesses can also more easily protect data with a tape backup drive, antivirus software, firewall software and an uninterruptible power supply (UPS).

Who Are You Promoting IT Networking To?

Tailoring your message for different audiences and interests is also key. If you’re discussing IT networking with the president or owner of the company, the hot buttons might include costs, the value of proactive technology investments, industry trends, competitive factors and lower labor costs through more automation.

The Bottom Line about IT Networking

If you’re discussing IT networking with middle management or employees in the trenches, make sure to shift gears. Staff and the internal guru will likely want to talk about ease of use and administration, how the network will make their job easier and the amount of training required to become proficient.

IT Audits What Are Your Clients Looking For

When you conduct IT audits, you will want to see what you can solve for your clients. You will want to see what problems they have and what you can do about them. In this article, you’ll learn the kinds of questions that they will want answered during IT audits

Questions Lead to the Needs Analysis

What are potential new clients looking for? This hasn’t changed in a long time. During IT audits, they’re going to ask you what they should buy. “What’s the best product and platform for us?” “What’s the best value?” All of these questions can be answered with a simple needs analysis with your IT audit. You go in and assess their situation, spending a couple of hours looking at what they have.

What will work together? Anyone can just go down to the store and buy a shopping cart full of stuff, but to make it work together - plug and play versus plug and pray. Integration and customization are huge needs, along with project management. Being able to coordinate things is enormous.

Other Services Your Clients May Want

Training, both formal and informal, is something your customers may want. This includes both end user training and administrator training.

Handling routine and scheduled upgrades.

Coordinating with outside vendors for an industry specific package installation

Network installation and maintenance

Customers Want One-Stop Shopping

The big picture here is that they’re looking for a single point of contact. They want to trust the technology advisor the same way they have a trusted accounting advisor or a legal advisor, or a managing consulting firm or marketing consultant. IT audits can help you both determine what your customers need your role to be.

Exchange Disaster Recovery with SANRAD V-Switch Planning Guide

Introduction

Designing a disaster recovery system requires planning and consideration of the available options that will best fit your company’s needs, SLA and budget. This guide will help you design an Exchange Disaster Recovery plan in conjunction with SANRAD Replication. The guide assumes that you have basic knowledge of SANRAD V-Switch and Exchange Administration.

Exchange Disaster Recovery Planning

This section discusses both general and Exchange specific considerations that need to be addressed when designing a disaster recovery solution combining SANRAD
replication and Microsoft Exchange Server.

General Considerations

SANRAD replication solution allows for flexibility with Exchange Disaster Recovery design.

The most influential factors affecting design consideration are:

Budget limitations

Recovery Time Objective (RTO) requirements (the time until the data is back online)

Recovery Point Objective (RPO) requirements (the amount of data that can be lost)

Network bandwidth between the local site and remote site

Replication method: Synchronous versus Asynchronous

Replication frequency (only for Asynchronous replication)

Initial volume synchronization

RTO (Recovery Time Objective)

With high level RTO, duplicate hardware is required to allow quick recovery making the solution more costly.

RPO (Recovery Point Objective)

RPO requirements are best defined by the amount of data that the company is willing to lose.

High level RPO requires more bandwidth for both Synchronous and Asynchronous replication.

Low level RPO requires less frequent replication and increases the risk of losing more data.

Network Bandwidth between the Local and Remote sites

Bandwidth between the sites is generally the most crucial factor affecting the replication component of a Disaster Recovery solution.

T1 (1.5Mb) links impose less frequent data replication and the use of asynchronous
replication methods.

T3 (45Mb) links or a 1Gb links allow frequent replication and the flexibility to choose
between synchronous replication or asynchronous replication methods.

Replication method

When considering which replication method to choose it is important to remember:

In Synchronous Replication the I/O commands are written to the local disk and to the remote volume at the same time. Every IO command requires an acknowledgment from both the local and remote sites before the next command.Consequently, synchronous replication is best deployed with a high bandwidth connection in order to allow the remote acknowledgment to arrive back to the local site as fast as possible and the replication can run faster.

In Asynchronous Replication the I/O commands are written to the local volume and
local journal volume which in turn is replicated periodically to the remote volume as periodically defined by the user. Consequently asynchronous replication can work well with lower bandwidth (minimum recommended for Exchange replication is 1.5
Mb) since both acknowledgements are local (from the primary volume and the journal volume) and thus the replication is fast by default.

For Asynchronous replication, you must decide the data replication frequency. There are three factors that must be considered:

1. The size of the network bandwidth between the sites.

2. The amount of data changes that need to replicate each time.
For example, large amounts of data changes take longer to replicate using T1
links.

3. The RPO requirements.

Initial Volume Synchronization

SANRAD replication solution can be used to protect existing production Exchange data. SANRAD Disaster Recovery solution supports both online and offline synchronization. When using SANRAD replication with existing Exchange data, an Initial synchronization of the Exchange volumes on the local site to the remote site must be performed.
The initial volume sync method depends on:

The size of the volumes needed to be synchronized.

The network bandwidth between the sites. For example, the bigger the volume size,
the longer it will take to synchronize over a T1 link.

Online synchronization starts immediately when replication is started and uses the
same network link that will be used during the replication.

Offline synchronization is a manual process where SANRAD replication prepares the
volumes on the primary site and the user must copy the data to the remote site. It is the user’s responsibility to make sure the volumes on the remote site are synchronized.

Exchange Considerations

Any Exchange Disaster Recovery planning should (at the very least) consider the following requirements:

Quick access to the most recent copy of the Exchange database and the transaction logs. In a disaster situation SANRAD replication provides fast access to the replicated data on the remote site.

The Exchange database and its related transaction logs must be replicated together to the remote site. SANRAD replication uses consistency groups to ensure simultaneous replication of all volumes assigned to a consistency group.

Exchange is integrated into Active Directory. An Active Directory domain controller (running Global Catalog) which is part of the same Active Directory domain that exists in the primary site, must exist in the remote site as well (or at least the capability to rebuild one and reconnect it to the existing Active Directory Domain).

The most up to date replicated copy of the Windows backup set (which includes system state) to expedite Exchange Server recovery.

SANRAD is a leader in IP Storage Networks enabling organizations to effectively Access, Share & Manage Stored Data across Standard Ethernet Environments.

Good Computer Maintenance - Part Two

In our last part of discussion of good computer maintenance, we will discuss backing up, some free stuff, and cleaning tips. All great bits of advice for proper care of your computer.

Back It Up

One maintenance task that is still crucial is backing up your data, particularly if it is business or financial related. At the very least, manuallly copy such data to a recordable CD or DVD disc when it changes. More sophisticated options include using the more automated backup tools that come with Windows, a stand alone backup program for networks such as the well regarded Dantz Retrospect Professional (www.dantz.com), or a Web backup system such as the excellent IBackup (www.ibackup.com).

Free Stuff

One really interesting maintenance task is checking to see who is spying on you. If you download a lot of software, one or more programs may be peeping at your Web surfing habits, which could be slowing you down. Such behavior naturally riles people, and good spirited entrepreneurs offer free software to weed out the sneaks. The best overall stand alone program for this is Patrick M. Kolla’s Spybot Search and Destroy (www.safer-networking.org).

Another fun, and free, software maintenance program is WinPatrol (www.winpatrol.com). Among other things, it shows you all the programs that load automatically every time you load Windows, letting you disable any you do not want running that may be slowing you down, regardless of whether you use Windows XP, NT, 2000, ME, 98, or 95.

Cleaning Tips

Clean your monitor if it becomes smudged. But stay away from glass cleaners … they can remove a monitor’s anti glare finish. Use isopropyl alcohol or distilled water along with a lint free cloth. Wet the cloth first, then the monitor.

Periodically open up your computer’s case to clean out dust. Every couple of years or more frequently if your PC is in a dusty area. This will help prevent heat build up, which can shorten the life of system components.

Use either a portable vacuum cleaner or compressed gas duster. To minimize static discharge, avoid older vacuum cleaners and brush attachments, and prevent the metal of any vacuum cleaner from touching your PC. After vacuuming the inside of your PC, vacuum the grille in front and your keyboard.

Before working inside a PC, ground yourself … turn off your computer, leave it plugged in, and touch an unpainted metal surface inside the PC. Your PC should be plugged into a three pronged grounded outlet, preferably on a dedicated circuit. Do not move a PC or connect or disconnect its cables while it is on unless they are plugged into a univeral serial bus port.

If your mouse starts misbehaving, take it apart and clean it. Shake out dust, or use a cleaning swab or compressed gas.

Finally, it is best not to smoke around your PC. Cigarette smoke can coat the innards of your PC with tar, shortening its life.

RFID Software Guide 101

RFID is the abbreviated form of Radio Frequency Identification. RFID is akin to the bar codes but in RFID the electro magnetic coupling is used to transmit signals. The main components of an RFID are silicon chips, an antenna and a transceiver that can be used anytime and anywhere. The passive RFID tags require no power source while active ones with power backup.

RFID is like a tag in which information and instructions are stored. It can be used in a car manufacturing, into a dog collar etc. An RFID system can range up to 90 feet. Unlike barcode technology, RFID does not require line-of-sight reading on which a bar code depends and RFID scanning can be done at greater distances than bar code scanning.

RFID has a plethora of uses. While initially the technology was just confined to tracing or identifying dogs, for a means of permanent identification number, the uses of RFID have simply multiplied over the years. Today RFID technology is seen in almost every field. Be it medicine, education (like library work), shipping, electronic devices automobiles, musical instruments, tracking movements of individuals via their passports etc., everywhere the RFID technology is at work.

RFID is becoming more widespread due to the manufacturing of RFID software. For instance lately technology company Intermec has created a new kind of intelligent RFID reader that can automatically route and manage information from RFID tags from remote locations, by using the IBM’s WebSphere Device Infrastructure (WRDI). WRDI is basically an open-standards-based software platform that can be embedded in RFID devices. The software facilitates its users with automatic data collection and reporting from remote sites that do not have their own IT support systems. The software also helps to filter or refine the incoming data on the basis of pre-defined criteria or relevance and send only the requisite info to the application server of the company. WRDI is not just effective in de-cluttering of the data network traffic but it also enables in taking on-board decisions. The software is instrumental in integrating and reconciling the RFID data with information garnered from various business sections.

The IBSS (Integrated Business Service Systems) innovation of Synapse based software has also proved to be a boon for the corporate world. This software named SynTrack Mobile Asset Management keeps a record of costly assets of an enterprise as they move across different locations. The software can locate a hierarchy of zones, tags and tags groups. It provides a real time location of the assets being tracked by continuously updating the user interface.

Besides these big organizations a remarkable attempt has been made by a group of Malaysian. Using the RFID technology the students have invented a software program or a device known as Object Identification Information Network (Odin) to solve the practical problems of people.

The Sun Java System RFID Software has also shown commendable performance in the market. This software is Sun’s unique RFID middleware platform offering that is based on largely accepted industry standards including those defined by the EPC global. The software provides a foundation for deploying the EPC Network for a company. The design of this software imparts high levels of reliability and scalability for EPC Network while also simplifying the task of integrating with multiple existing back-end enterprise systems.

Mansi Aggarwal recommends that you visit RFID Software for more information.

Speed Up Your Surfing with Bookmarks

Do you visit the same sites often? Do you, for example, log into your web-based email account, visit online forums / networks, visit blogs, etc. on a daily basis?

If so, and you aren’t already using bookmarks to manage your online activities, this article will tell you how to speed up your surfing by using and managing bookmarks. If you’re already using bookmarks, the article has useful tips on exporting your bookmarks and saving them on a website. This comes in handy when you’re away from your computer - on a vacation, say - and still want to visit the sites you surf regularly.

1. First, the basics

1.1 What is a bookmark?

Bookmark is Netscape / Mozilla’s term for a shortcut link to a website. Internet Explorer calls them “Favorites”. When you bookmark a site, your browser places a link to it under the “Bookmark” or “Favorites” menu at the top. For the sake of brevity, we shall be using the term “bookmark” to mean bookmark or favorite site throughout this article.

1.2 Bookmarking a site:

Bookmarking a site is the essence of simplicity. When you visit a site that you’ll be visiting regularly, simply press Ctrl+D (Hit the D key while keeping Ctrl pressed). Depending on your browser, this will add a link to the bookmarks straightaway or ask you to confirm that you’d like to add the site.

1.3 Using bookmarks:

Bookmarks offer a quick way to visit sites. Once you bookmark a site, you don’t have to type the URL (address) of the site when you wish to visit it.

When you want to visit a site you’ve bookmarked, click the Bookmark or Favorites menu item. You will get a drop down list of all your bookmarks or your browser will open a new pane / frame with the list of sites. Some browsers add bookmarks on their own, so don’t be surprised if you see links to sites you never bookmarked. Clicking on any of the bookmarks will take you directly to the site.

1.3.1 TIP:

If you’re using Mozilla Firefox, right-click on the bookmark to get a context-sensitive menu that allows you to open the link in a new window or new tab. You can thus continue to work in the current window while the bookmarked site opens in the new window / tab.

2. Managing Bookmarks

If you bookmark a large number of sites, your list of bookmarks can get pretty unwieldy. You may need to manage or organise your bookmarks so that you can find them quickly.

Internet Explorer has an “Organize” button that opens a window with various options, such as “Create New Folder”, “Move to Folder”, etc. Mozilla Firefox / Netscape have a “Manage Bookmarks” link that similarly opens a window to manage your bookmarks.

2.1 What you can do to manage your Bookmarks

1. You can create folders that will contain similar bookmarks. This is useful when you have several sites of the same type in your bookmarks list. For example, you may create a MAIL folder and store links to Yahoo, Hotmail, Gmail, etc. there. You may create a NETWORKS folder to store links to online networks like Ryze, LinkedIn, Ecademy, etc. You may create a FORUMS folder to store links to discussion groups you frequent.

2. You can create separators, lines between bookmarks, so that you can see at a glance the groups of bookmarks. This is useful when you have too few bookmarks to store in folders, but too many to allow you to find the desired bookmark quickly.

3. You can move bookmarks up or down in the list or into folders. You’ll need to do this in order to keep bookmarks to similar sites together. To move a bookmark, simply click-drag it to where you want it, up or down in the list.

4. You can change the properties of the bookmark, such as its name or description.

3. Export your Bookmarks

Both, IE and Mozilla Firefox allow you to export your bookmarks to an html file that you can store on your hard disk, floppy disk or CD. This provides a back up in case you lose your bookmarks (if you have to re-format your hard disk because of a virus, for example). You can import the bookmarks from the file at any time.

3.1 To Export your Bookmarks from Internet Explorer

Go to File–>Import and Export

This will start the Import and Export Wizard, which will guide you through the steps to export your bookmarks. Make sure you save the file to a drive other than C: so that it will remain available to you in case you have to re-format your C drive.

3.2 To Export your Bookmarks from Mozilla Firefox / Netscape

Open the Bookmarks Manager window by selecting Bookmarks–>Manage Bookmarks.

Click File–>Export in the Bookmarks Manager window (NOT the main browser window).

Navigate to the Drive / Folder where you want to store the file and click “Save”. It is good practice to save the file on a drive other than C: so it remains available to you in case you have to re-format your C Drive.

4. Store your Bookmarks on the Web

There may be times when you’re away from your computer, but still need to access your bookmarks. There are many free sites on the net that allow you to store your bookmarks so they are available to you no matter where you are.

If you google “Free Bookmark Managers” (with the quotes) you will get links to dozens of web-based Bookmark Managers that allow you to store your bookmarks on their servers. You may need to create an account with them to use the service.

To upload your bookmarks to your account you may first need to export them to a file (explained in “3. Export your Bookmarks” above). You may then upload the file to your account by following the directions given on the site.

So what are you waiting for? Start bookmarking sites now and enjoy hassle-free surfing.

Discount Wireless Laptops

Being flexible in business is an essential factor these days. The wireless solution, a cost-effective and secure technology, allows for building mobility and versatility.

Wireless technology is the same as the technology used in a mobile phone. It uses radio waves to carry data from one point to another. However, one disadvantage with the wireless is that the user must be in the access range. Wireless LAN uses a radio communications device called an access point to connect to the network computers. Access points are small and lightweight, with an antenna attached to send data back and forth over the airwaves.

Wireless networks are usually inexpensive and easy to maintain. Wireless networks eliminate the cost of setting up a wired network, which typically means running Cat-5 cable through the ceiling and walls of the office to each workstation or computer. It is also cost effective and saves the time required for the cable installation. One major advantage is that shifting is easy with a wireless network.

Some of the major advantages of wireless networks are increased productivity, security, easy set up, faster access, efficient collaboration, and industry solutions provided by the companies.

Since wireless network provides convenient access to local network resources and Internet connections, the laptop or the notebook computer can be taken anywhere inside or outside the office, increasing productivity.

It is important to understand that the security level in wireless network technology is the same as the type of security existing on wired networks in conjunction with existing network security technology.

Wireless network provides quick access to the network server. Also, it is easier to share files or exchange e-mails with the team on-site or off-site. It makes it easier to connect to the company intranet.

For a wireless network connection, the user needs a wireless router, Wi-Fi ready computers and LAN capability or a wireless add-in card. Wireless laptops can be used from a broad range of locations like cafes hotels, and airports. These places would have a “hotspot” that can be detected by the wireless laptop. Hotspots are usually free or fee based.

While using wireless laptops in public places, it is suggested to turn off file sharing and avoid sending or receiving sensitive email or personal data. Users should activate a firewall if possible. Always use VPN to connect to work or school from public places.

Computer Risks Unauthorized Access and Use

One type of computer security risk is unauthorized access and use.

Unauthorized access is the use of a computer or network without permission. Hackers typically break into a computer by connecting to it and then logging in as a legitimate user. Some intruders do no damage but they merely access data, valuable information or programs on the computer.

Unauthorized use is the use of a computer or its data for unapproved or illegal activities. It includes a variety of activies such as gaining access to a bank computer and performing an unauthorized bank transfer etc.

Preventing Unauthorized Access and Use

1. Have a written acceptable use policy (AUP) that outlines the computer activities for which the computer and the network may and may not be used.

2. The use of firewall

3. Access Controls

4. Intrusion detection software

5. Audit trails

Intrusion detection software = analyzes network traffic, asssesses vulnerability, identifies unauthorized access and notifies network administrators of suspicious behaviour patterns or system breaches.

Access controls = defines who can and cannot access a computer, when they can access it and what actions they can take. Includes a user name and password, a possessed object, a biometric device and a callback system.

Audit trail = records in a file both successful and unsuccessful access attempts.
